POSITION SUMMARY
The Executive Assistant is responsible for supporting the RMN Management team through special projects and coordinating with multiple parties. The main tasks of this role are handling office management duties, making travel arrangements, handling calendar events, organizing reports and documents, answering phone calls, setting up meetings, and screening visitors, while acting as a key contact for internal and external stakeholders.
ESSENTIAL FUNCTIONS

The scope and duties of a given position may change or be temporarily altered based on the business needs of Rosenbauer.
- Supports the management team by conducting special projects, research, and analysis as directed.
- Coordinates meetings, conferences, presentations, and travel arrangements for management team, office employees, and customers.
- Drafts and edits e-mails, memo, company correspondence and other communications, handles incoming correspondence, and manages information flow.
- Creates, maintains and updates PowerPoint and Excel content for management presentations and reporting.
- Handles telephone calls, external mail, and email to coordinate with various outside and inside parties.
- Acts as a primary point of contact for the management team, handles inquiries, directs calls , and manages information flow.
- Maintains office records, organizes documents, and manages office supplies (including scheduling, documentation and upkeep of fleet vehicles).
- Performs other duties and responsibilities as required by management to meet the needs of the company.
KNOWLEDGE, SKILLS, AND ABILITIES (KSA’s): The requirements listed below are representative of the knowledge, skill, and/or ability required to successfully perform the essential functions of the job.
| Knowledge, Education, and/or Experience: - High School Diploma/GED required.
- Associate degree or equivalent from a two-year college or technical school preferred.
- 1-2 years of experience in an Office Administrative role required.
- Experience with creating and formatting presentations and reports in PowerPoint and Excel preferred.

| Skills: Language: - Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence and procedure manuals.
- Ability to use effectively present information and respond to questions from groups of managers, clients, customers, and the public.
Math: - Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, fractions, and decimals.
Computer: - Proficient in Microsoft Excel, especially related to formulas and equations related to sales.
- Able to perform intermediate PC functions in Microsoft Office Suite.
